Job Description:
Principal Accountabilities: 1. In conjunction with the Diary Manager, manage the workload of the Director and Assistant Directors, ensuring that all business is undertaken in an efficient effective manner. 2. In conjunction with the Diary Manager coordinate arrangements for meetings and events including organising venues and accommodation as required. Liaise with senior personnel both internally and externally. 3. Be responsible for all incoming and outgoing correspondence and the maintenance of the appropriate filing and bring forward systems. At all times ensure that such correspondence is handled speedily, followed up appropriately with any problems, escalated as necessary. 4. Establish and maintain office filing and retrieval systems. 5. Deal with a wide range of personal and telephone callers. Follow up and resolve queries where possible and ensure that these are effectively dealt with by other parts of the organisation. 6. Minute meetings involving the Direct and other senior managers, including taking notes at investigations, disciplinary and grievance meetings. Work with the Diary Manager to coordinate agendas and briefings as necessary in order to ensure the smooth transaction of business at such meetings. 7. Monitor the development of our Business Plan updating the plan and distributing revisions as required. 8. Promote the development of a more diverse organisation in accordance with our diversity policy and implementation plans. 9. Comply with our policies and procedures and any legal or contractual obligations particularly in the areas of data protection, health and safety etc.
Essential: 1. Understanding of the complexities of the voluntary sector and its governance or ability to speedily acquire this knowledge. 2. Excellent written and verbal communication skills. 3. Excellent interpersonal skills. 4. Ability to work efficiently and calmly when under pressure. 5. Highly organised. 6. Diplomatic, tactful and sensitive. 7. Highly motivated with an emphasis on taking responsibility for getting the job done. 8. Able to prioritise workload and that of others. 9. Advanced typing and computing skills. (Microsoft Office Professional Suite). 10. Experience of operating in close conjunction with senior managers in a complex organisation. 11. Experience of team working. 12. Experience of setting up and running efficient office systems. 13. Ability to work flexibly and be available beyond normal working hours on occasions. 14. Available to travel to other business locations on occasions.
